Position Summary
The Executive Assistant will provide high-level administrative support to senior executives, ensuring efficient operation of the executive office. This role requires exceptional organizational skills, discretion, and the ability to manage multiple priorities in a fast-paced insurance environment.
Key Responsibilities
  • Manage complex calendars, schedule meetings, and coordinate travel arrangements.
  • Prepare and edit correspondence, reports, presentations, and other documents.
  • Serve as a liaison between executives and internal/external stakeholders.
  • Organize and maintain confidential files and records.
  • Assist with board meeting preparation, including agendas, minutes, and logistics.
  • Track and follow up on action items and project deadlines.
  • Support event planning and coordination for internal and client-facing events.
  • Handle expense reporting and invoice processing.
  • Conduct research and compile data for strategic initiatives.
Qualifications
  • Bachelor's degree or equivalent experience.
  • 5+ years of experience as an Executive Assistant, preferably in the insurance or financial services industry.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Strong written and verbal communication skills.
  • High level of discretion and professionalism.
  • Ability to anticipate needs and work independently.
  • Familiarity with insurance terminology and operations is a plus.
Preferred Skills
  • Experience with CRM systems (e.g., Salesforce).
  • Project management experience or certification.
