AP/AR Manager
Key Responsibilities
Accounts Receivable & Client Billing
- Own monthly/quarterly client billing, including fee calculations, invoicing, adjustments, and documentation.
- Coordinate custodian fee debits and reconcile postings to custodial statements.
- Maintain accurate billing data (AUM, fee schedules, households) across CRM and portfolio systems.
- Monitor AR aging, manage collections, and resolve billing discrepancies with a client-first approach.
- Support annual fee reviews and maintain strong controls and audit trails.
Accounts Payable
- Manage end-to-end AP processing: vendor onboarding, invoice review, coding, approvals, and payments.
- Enforce spend controls, maintain vendor documentation, and reconcile AP to the general ledger.
- Oversee accruals, prepaids, and timely disbursements across payment methods.
Close, Controls & Reporting
- Prepare AP/AR reconciliations and support month-end close and financial reporting.
- Develop and maintain SOPs; strengthen internal controls aligned with RIA requirements.
- Partner with Compliance on books & records and support audits.
- Produce KPIs and management reporting with actionable insights.
Process & Systems Improvement
- Drive automation and workflow improvements across accounting, billing, CRM, and custodial systems.
- Implement enhancements to expense management, invoice intake, and approval workflows.
- Train stakeholders and promote continuous process improvement.
Qualifications
Required
- 5-7+ years of AP/AR experience with ownership or team leadership exposure.
- Financial services background (RIA, asset management, or wealth management preferred).
- Proficiency with accounting systems (e.g., QuickBooks, NetSuite, Sage Intacct) and Excel.
- Experience with or ability to quickly learn portfolio accounting/billing platforms.
- Strong GAAP knowledge, controls mindset, and excellent attention to detail.
Preferred
- Experience reconciling custodian billing and handling complex fee adjustments.
- Familiarity with CRM, AP/expense tools (e.g., Salesforce, Bill.com, Ramp).
- Audit support experience.
- Bachelor's degree in Accounting or Finance; CPA/CMA a plus.
