Executive Assistant cum Office Manager

Our client is a well-established and growing hedge fund with a strong presence in Asia. The firm is seeking a highly organized and proactive Executive Assistant & Office Manager to support senior leadership while overseeing the smooth day-to-day operations of the Hong Kong office.

This is an excellent opportunity for an experienced business support professional who enjoys working in a dynamic, high-performance investment environment and is comfortable balancing executive support, office management, and strategic administrative projects.

Responsibilities

Executive Support

  • Provide dedicated support to senior executives, including complex calendar management, meeting coordination, travel arrangements, and expense management.
  • Act as a key liaison between internal teams, external stakeholders, service providers, and investors.
  • Prepare meeting materials, presentations, reports, and correspondence.
  • Manage confidential information with the highest level of discretion and professionalism.
  • Coordinate global meetings across multiple time zones.

Office Management

  • Oversee the daily operations of the Hong Kong office and ensure a best-in-class workplace experience.
  • Manage relationships with vendors, landlords, building management, and service providers.
  • Handle office procurement, facilities maintenance, space planning, and office administration.
  • Lead office-related projects including renovations, relocation, and workplace improvements.
  • Manage office budgets, invoices, and expense tracking.

Requirements

  • 5+ years of experience in Executive Assistant, Office Manager, or similar business support roles.
  • Prior experience within a hedge fund, asset management firm, private equity firm, family office, investment bank, or broader financial services environment is highly preferred.
  • Proven experience supporting senior executives, Partners, CIOs, PMs, or C-suite stakeholders.
  • Strong office management and facilities management experience.
  • Experience managing vendors, events, office projects, and budgets.
  • Exceptional organizational skills with the ability to manage multiple priorities simultaneously.
  • High attention to detail and strong problem-solving capabilities.
  • Excellent communication skills in English; Cantonese and/or Mandarin would be advantageous.
  • Proficiency in Microsoft Office Suite.
