Our client, a proprietary trading firm based in Sheung Wan, is seeking a reliable and well‑organized Office Assistant / Receptionist to support daily office operations. This role is ideal for someone who is proactive, detail‑oriented, and comfortable working in a fast‑paced professional environment.
Key Responsibilities
Front Desk & Office Operations
- Handle all incoming and outgoing mail, couriers, and deliveries
- Manage meeting room bookings and ensure rooms are properly prepared
- Monitor, replenish, and order office and pantry supplies; liaise with vendors
- Coordinate office cleaning, maintenance, and general upkeep
- Manage calendars and schedule meetings for managers
Administrative Support
- Prepare, format, and update documents using MS Word and Excel
- Perform data entry and maintain internal records and spreadsheets
- Support the finance and admin team with filing, scanning, and document preparation
- Handle confidential documents with professionalism and discretion
- Provide general administrative and ad‑hoc support as needed
Staff & Vendor Coordination
- Assist with onboarding logistics (desk setup, access cards, equipment coordination)
- Liaise with external parties including building management, IT support, and service providers
- Assist with travel bookings such as flights, hotels, and expense claim arrangements
Requirements
- 1-3 years of office administration or receptionist experience preferred
- Proficiency in MS Office (Word, Excel, Outlook)
- Strong organizational and multitasking skills
- Good communication skills in English; Cantonese a plus
- Professional, proactive, and able to handle sensitive information with discretion
