Accounts Receivable Manager

Our client, a growing civil construction firm, is seeking an experienced Accounts Receivable Manager to join their team. This is a high-impact role within a dynamic organization that values innovation, collaboration, and operational excellence. The ideal candidate will bring strong AR expertise and a proactive approach to collections and process improvement.

Responsibilities

  • Manage full-cycle accounts receivable operations across multiple entities (5+ companies), ensuring timely and accurate collections and account maintenance.
  • Conduct high-volume outreach (calls and emails) to clients regarding outstanding balances; resolve discrepancies and issue delinquency notices.
  • Collaborate with internal teams (billing, finance, operations) to streamline collections and improve processes.
  • Lead weekly meetings with operations to review delinquencies and strategize on collection efforts.
  • Utilize and manage accounting and collection platforms including QuickBooks, Sage, Lockstep, and BigTime.
  • Perform monthly and quarterly reconciliations between systems.
  • Prepare custom AR reports and KPIs for executive leadership.
  • Set up PayApps for client payments; manage lien documentation (mechanical liens and releases).
  • Monitor AR automation tools and coordinate with external tech support to resolve issues.
  • Review AR aging reports monthly and manage legal communications related to disputes.
  • Support administrative tasks and special projects as needed.

Qualifications

  • Minimum of 5 years of full-cycle AR and collections experience with a proven track record of success.
  • Associate or Bachelor's degree in Accounting, Finance, or Business preferred.
  • Ability to manage high-volume activity (20+ calls and 30-40 emails daily).
  • Intermediate proficiency in Excel (formulas, pivot tables, data analysis).
  • Strong analytical and mathematical skills with attention to detail.
  • Experience with QuickBooks preferred; familiarity with other accounting software is a plus.
  • Tech-savvy with the ability to quickly learn and adapt to new financial systems.
