Our client is a Fresh-thinking, fast-paced, and dynamic multi-strategy hedge fund based in Hong Kong. With a high-performing team and ambitious growth plans, the firm is building a modern, agile platform to scale rapidly across strategies and geographies. They are now looking for an energetic and highly organized Office Manager to be the operational heartbeat of the business.

This is a unique opportunity to join a high-growth investment firm at an early stage. As Office Manager, you'll play a critical role in ensuring the smooth day-to-day running of the office while helping to build the infrastructure and culture that will support the firm's expansion. You'll work closely with leadership and be involved in everything from operations and HR support to vendor management and team engagement.

WHat does the role involve?

  • Manage all aspects of office operations, including facilities, supplies, vendors, and service providers.
  • Be the go-to person for internal coordination and external communications, ensuring a professional and efficient office environment.
  • Support HR processes such as onboarding, offboarding, and maintaining employee records.
  • Assist with finance-related tasks including invoice tracking, expense reporting, and liaising with external accountants.
  • Coordinate travel, meetings, and events for the team and visiting stakeholders.
  • Implement and refine administrative systems and processes to support a growing team.
  • Oversee IT and office equipment needs in collaboration with external vendors.
  • Support compliance and documentation processes as needed.
  • Provide executive support to senior leadership, including calendar and task management.
  • Help foster a collaborative, high-energy culture that reflects the firm's entrepreneurial spirit.

What experience do we need?

  • 3+ years of experience in office management, operations, or executive support-ideally in a startup or financial services environment.
  • Highly organized, detail-oriented, and able to juggle multiple priorities with ease.
  • Strong interpersonal and communication skills, with a proactive and can-do attitude.
  • Comfortable in a fast-moving, high-growth environment where no two days are the same.
  • Tech-savvy and confident using tools like Microsoft 365, Google Workspace, and expense platforms.
  • Fluent in English; Cantonese or Mandarin is a plus.
