Operations Manager

Key Responsibilities

Trading & Operations

  • Execute and allocate domestic and international equity and fixed income block trades.
  • Conduct trades for individual accounts to support portfolio rebalancing across stocks, bonds, and money markets.
  • Ensure all trades comply with client-specific restrictions and are processed accurately for settlement.
  • Resolve trade settlement issues with custodians and executing brokers.
  • Generate and maintain pre- and post-trade documentation, including trade blotters, allocation reports, and GTC reports.
  • Perform daily transaction posting and account reconciliation using Advent Axys.
  • Investigate and resolve transaction discrepancies and reconcile monthly custodian statements.

Client Service

  • Process client-directed requests such as wire transfers and internal fund movements.
  • Respond to client inquiries regarding account details, document requests, and check reorders.
  • Coordinate with custodians to address and resolve client service issues promptly.
  • Prepare and distribute quarterly client account statements.
  • Manage securities litigation class action claim submissions.

Investment Management Support

  • Produce daily, monthly, and ad hoc investment reports for the CIO, including holdings summaries, screening results, and dividend safety analyses.
  • Assist in preparing quarterly portfolio performance reports for CIO review.

Qualifications

  • 4-5 years of back-office operations experience at a reputable brokerage or investment advisory firm managing over $500 million in AUM.
  • Bachelor's degree in Accounting, Finance, or a related field (or equivalent experience).
  • Solid understanding of financial markets and investment instruments.
  • Exceptional attention to detail and organizational skills.
  • Strong client service orientation and ability to manage multiple priorities.
  • Proficiency in Microsoft Office and portfolio accounting systems.
  • Ability to meet tight deadlines and adapt to shifting priorities.
