Fund Administration Specialist
The Fund Administration Specialist will play a hands‑on role in managing fund‑level expenses, budgeting, and treasury‑related processes across a suite of SEC‑registered vehicles. This position partners closely with fund accounting, operations, and legal teams to ensure expenses are accurately processed, monitored, and reported in accordance with regulatory and contractual requirements. This is an ideal opportunity for someone who understands fund accounting mechanics but is most energized by expense governance, invoice management, fee calculations, and financial controls rather than day‑to‑day NAV production.
- Manage and review ongoing fund expenses for U.S. mutual funds, ETFs, and other registered investment vehicles
- Process and validate invoices, ensuring accurate categorization, allocation, and timing of expenses
- Track and administer expense limitations, waivers, and reimbursements, including related calculations and support materials
- Support the annual budgeting process and ongoing monitoring of fund operating costs against forecasts
- Compute and review management fees and other contractual fund charges
- Coordinate with fund accountants and administrators to ensure expenses are appropriately reflected in NAVs and financial statements
- Perform treasury‑related activities such as expense payments, cash oversight, and reconciliations
- Prepare and deliver expense analysis to support periodic reporting, audits, and regulatory filings
- Collaborate with teams across Operations, Legal, and Compliance on expense disclosures, controls, and documentation
- Bachelor's degree in Accounting, Finance, or a related field
- 5 years of experience within fund administration, fund accounting, or fund finance/treasury
- Proven experience working with U.S. mutual funds, ETFs, or other SEC‑registered products
- Hands‑on background in invoice processing, expense budgeting, management fee calculations, and reimbursements
- Familiarity with expense caps, waivers, and fund expense policies
- Solid understanding of U.S. GAAP and registered fund structures
- Strong Excel capabilities and exceptional attention to detail
- Ability to balance multiple deliverables in a regulated, deadline‑driven environment
- Clear communicator who works well across teams and takes a proactive approach to problem‑solving
