Overview
A leading global financial services firm is seeking an experienced Executive Assistant to support senior leaders within its Equities and Prime Services business in San Francisco. This is a high‑visibility role suited for someone who enjoys working closely with the front office and operating as a true business partner in a fast‑paced, client‑driven environment.
Key Responsibilities
- Coordinate a high volume of client meetings with hedge funds, portfolio managers, analysts, and corporate clients
- Own end‑to‑end logistics for roadshows, conferences, non‑deal roadshows (NDRs), and corporate access initiatives
- Manage complex calendars across multiple time zones, including San Francisco, New York, and London
- Assist in the preparation of client materials, agendas, and post‑meeting notes
- Organize and execute premium client events such as dinners, conferences, and hosted meetings
- Track client interactions and follow‑ups; maintain distribution lists and call lists
- Provide travel, logistics, and expense management support for senior leaders and team members
- Act as a proactive partner to the business, anticipating needs and ensuring seamless execution
Skills & Experience
- Exceptional organizational and prioritization skills in a high‑pressure environment
- Strong commercial awareness with an understanding of markets, urgency, and client impact
- Highly detail‑oriented and proactive, with the ability to anticipate needs
- Proven problem‑solving skills and ability to independently manage issues when senior leaders are traveling
- Strong communication skills; comfortable engaging with senior stakeholders and external clients
- Proficient in Microsoft Excel, Word, PowerPoint, and collaboration tools
- Ability to quickly learn internal systems related to travel, expenses, onboarding, and compliance
